Configuring the Retry Policy for Your Courses

Retry policy

Updated over a month ago

Configuring a retry policy allows Arsen to automatically send a transactional email to employees who have not completed certain lessons in their programs.

These reminders encourage course completion and significantly improve the effectiveness of awareness programs.

To enable and configure this feature, you must access the general application settings.

1 – Objectives

This article explains how to:

  • configure an automatic retry policy for incomplete lessons

  • set the day, time, and time zone for reminders

  • understand how reminder emails work

  • view an example of a reminder as received by employees

2 – Prerequisites

Before configuring a retry policy, you must:

  • access the Settings of the Arsen platform

  • have administrator rights

  • understand that reminders apply only to lessons not completed or expired

  • keep in mind that any changes apply only to future reminders, not to programs already active

3 – Accessing retry settings

  • Click your company logo in the top-right corner of the Arsen interface

  • Select Course Settings

  • Scroll down to the Email Reminder section

Course Settings page showing the Email Reminder section beneath delivery preferences and training delivery schedule.

4 – How it works

The retry policy follows a simple logic:
Every week, on a defined day and time, Arsen sends employees an email summarizing:

  • completed lessons

  • lessons to complete

  • expired lessons

5 – Configuring the retry policy

To configure retry settings:

  • Activate the feature using the toggle button

  • Choose the day of the week

  • Choose the send time

  • Select the time zone (by default, the logged-in administrator’s time zone is used)

6 – Example of a reminder email received by an employee

Example Arsen reminder email showing summary of lessons received, their statuses, and deadlines within the training program

In this reminder email, the following information is displayed:

  • For all lessons still to be completed, employees can access the course via the Complete Now button

  • Completed lessons display the Completed status

  • Lessons already expired and no longer completable display the Overdue status

7 – Important reminder: lesson availability duration

⚠️ Attention
A lesson remains available for 7 days after being sent.
After this period:

  • the lesson is considered expired

  • the employee can no longer complete it

  • reminders display it with the Overdue status

This rule applies to all program types, whether Continuous or Time Bound.
