The Awareness Training module allows you to define a single delivery frequency applied to all program lessons and all targeted employees.
However, Arsen also allows you to customize lesson delivery settings to adapt the program distribution to your teams’ work organization through a delivery window.
You can define the authorized delivery days and time slots that will be used by default when modifying your program settings.
Changes to these settings only impact future deliveries and do not affect lessons that have already been sent.
1 – Objectives
The purpose of this article is to explain how to:
modify the lesson delivery frequency;
understand the shared, uniform, and unique framework defined by the frequency settings;
define the default lesson delivery days;
define lesson delivery time slots.
2 – Prerequisites
Have the Administrator role allowing access to the program Settings.
Have the Awareness Training module enabled on the account.
Have completed the Awareness Training onboarding process (Get Started).
Know your teams’ availability in order to configure delivery days and times appropriately.
3 – Access the Lesson Delivery Settings
To redefine the delivery frequency of awareness lessons for employees:
Click on
Programfrom the main menu under the Awareness Training section.Select
Settingsat the top-right corner of the page.
Three settings categories are available.
Open the first section in the list by clicking the arrow to expand it (Schedule).
3.1 – Modify Course Delivery Frequency
To modify the lesson delivery frequency, choose between three options:
Weekly: lessons are delivered every week.
2 weeks: lessons are delivered every two weeks.
Monthly: lessons are delivered monthly.
Once your selection is made, click on Save changes at the bottom of the page.
⚠️ Warning
Modified settings only apply to lessons that will be sent after saving the changes.
They do not have any retroactive impact on lessons that have already been sent or completed.
3.2 – Understanding the Shared Framework Defined by Frequency
The delivery frequency governs all lesson delivery aspects of the program.
It defines a shared framework with no exceptions.
Each employee receives the next lesson in their program according to this globally defined framework.
📚 Example:
Program Settings
Core learning path lessons are delivered weekly.
The program is currently in week 2.
An employee A follows:
the core learning path lessons;
as well as a Triggered Lesson that may be delivered under certain conditions.
Scenario
If the trigger conditions are met during week 2, the Triggered Lesson becomes the priority over the rest of the program.
The delivery schedule therefore becomes:
Week 1: Core learning path lesson
Week 2: Triggered Lesson
Week 3: Resume core learning path
Following weeks: normal continuation of the program
Important Point
The Triggered Lesson does not replace a core learning path lesson: it is temporarily inserted into the employee’s learning path before the normal program flow resumes.
4 – Access the Lesson Delivery Window
Choose the days and time slots during which lessons may be sent to employees.
4.1 – Define Lesson Delivery Days
The interface provides buttons allowing each day of the week to be enabled or disabled.
Click on the button corresponding to the desired day.
An enabled day means employees may receive courses on that day.
📚 Example:
If only Mondays, Tuesdays, and Fridays are enabled, deliveries will only occur on those days.
4.2 – Define Delivery Time Slots
To define the hours during which employees may receive lessons, two time boundaries must be configured.
Define the Start Time:
Enter the time under the From field corresponding to the beginning of the authorized delivery period.
Define the End Time:
Enter the time under the To field corresponding to the end of the authorized delivery period for the day.
These two fields define the time range during which Arsen may send courses.
4.3 – Define the Time Zone
The time zone is configured within the same section.
To choose your Timezone:
Use the dropdown menu under the Timezone label.
Search for your city or region using the dedicated search bar.
Select the time zone corresponding to your organization.
4.4 – Important: Scope of Changes
Once the delivery window has been configured, click on Save changes at the bottom of the page.
