Configure Your Course Reminder Policy

Configuring a reminder policy allows automatic transactional emails to be sent to employees who have not completed the latest lesson in their program.

These reminders encourage course completion and improve the overall effectiveness of the awareness program.

To configure this feature, you must access the program general settings.


1 – Objectives

The purpose of this article is to explain how to:

  • configure an automatic reminder policy;

  • understand how reminder emails work;

  • view an example of a reminder email as received by employees.


2 – Prerequisites

Before configuring a reminder policy, it is necessary to:

  • access the Program Settings section;

  • have administrator permissions;

  • understand that reminders only apply to non-completed or expired lessons;

  • keep in mind that any modification only applies to future deliveries, not to lessons already sent.


3 – Access Reminder Settings

  • Click on Program in the Awareness Training section, then go to the top-right corner of the Arsen screen.

  • Select Program Settings.

Scroll down to the Reminder section.



4 – How the Reminder Policy Works

The reminder policy works according to a simple principle:

You define the number of days after which a reminder is sent to employees who have not completed their latest assigned lesson.

The reminder email highlights:

  • courses that still need to be completed;

  • expired courses.

By default, when the program is activated, the reminder email is configured for every 7 days.

This means a reminder is sent every 7 days until the lesson expires.


5 – Configure the Reminder Policy

To configure the reminder policy, use the slider that allows you to increase or decrease the number of days between receiving a course and sending the reminder email.




6 – Example of a Reminder Email Received by an Employee

The following information is displayed in the reminder email:

  • For courses that still need to be completed, employees have access to a direct course link through the Continue Lesson button.

  • Lessons that have already expired and can no longer be completed are displayed with the Overdue status.


7 – Important Reminder: Lesson Availability Duration

⚠️ Warning

A lesson remains available for 1 month after being sent.

After this period:

  • the lesson is considered expired;

  • the employee can still access it from their employee dashboard;

  • reminder emails display it with the Overdue status.
